Cooling contacts and when they appear
How many days without contact each stage allows before someone shows as cooling on Today, and what resets the clock.
A cooling item means someone you are working with has gone longer than their stage allows without any contact. It reads “Cooling” with their name, and “No contact in” a number of days.
Who can cool
Only active leads and clients: people added as a lead, captured by a form or microsite, turned into an active lead, or given a deal. Someone added as a Contact with no deal never cools.
The limits
The stage that counts is the one they are furthest along in:
- with an open deal, that deal’s stage (with several open deals, the one closest to closing)
- with every deal closed, Closed
- with no deal, their lead stage
| Stage | Days without contact before cooling |
|---|---|
| New Lead | 2 |
| Contacted | 5 |
| Qualified | 14 |
| Buying · Showing | 7 |
| Buying · Offer | 3 |
| Buying · Under Contract | 7 |
| Selling · Listing appointment | 3 |
| Selling · Listed | 7 |
| Selling · Under Contract | 7 |
| Every deal Closed | 30 |
A renamed deal stage keeps the limit of its place in the list.
What counts as contact
Any email, text or note on their timeline, in either direction, resets the clock:
- an email you send them, or a reply they send you
- a call, email, text or note you log
- a note on their Notes tab or on one of their deals
- a form or inquiry they send you
Lines Relivo writes for you, such as a stage change, a new tag or a task added, don’t count.
Re-engage
Click Re-engage to open Log it, then set the next step, log what you did, and click Save. They leave Today until they go past their limit again. Adding only a next step, without logging anything, leaves them on the list.
When you aren’t ready to act, hide the card until tomorrow with the X. See Snooze an item until tomorrow.
